Terms of Service

1. Acceptance of Terms

By accessing or using the Rentrax platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not use our Service. These Terms apply to all users including business owners, staff members, and viewer accounts.

2. Description of Service

Rentrax is a cloud-based vehicle rental management platform that provides:

• Fleet and vehicle management tools
• Booking and customer management
• Payment tracking and recording
• Team member access management
• Public fleet booking pages
• WhatsApp integration for business notifications
• Reporting and analytics features

3. Account Registration

To use Rentrax you must:

• Provide accurate and complete registration information
• Be at least 18 years of age
• Be a legally registered business owner or authorized representative
• Maintain the security of your account credentials
• Notify us immediately of any unauthorized account access

You are responsible for all activity that occurs under your account.

4. Subscription Plans and Billing

Available Plans

Free Trial

New accounts receive a 7-day free trial with access to Starter plan features. No payment is required during the trial period. After the trial expires, you must subscribe to continue using the Service.

Payment Terms

• Subscriptions are billed monthly in Philippine Peso (PHP)
• Payments are non-refundable except as required by Philippine law
• We reserve the right to change pricing with 30 days advance notice
• Failure to pay will result in account suspension after a 7-day grace period

5. Acceptable Use

You agree not to use Rentrax to:

• Violate any applicable Philippine or international laws
• Store false, inaccurate, or misleading information
• Attempt to gain unauthorized access to other accounts or systems
• Reverse engineer, decompile, or disassemble any part of the Service
• Use the Service for any purpose other than legitimate vehicle rental management
• Share account credentials with unauthorized third parties
• Upload malicious code or attempt to disrupt the Service

6. Data Ownership and Privacy

You retain full ownership of all customer data, booking records, and business data you enter into Rentrax. We do not claim any ownership rights over your data.

By using Rentrax, you grant us a limited license to process your data solely for the purpose of providing the Service. We will never sell your data to third parties.

7. Team Members and Access Control

Business owners may invite team members with the following roles:

• Staff — can create, edit, and manage bookings and customers
• Viewer — read-only access to bookings and reports

The number of team members you can invite depends on your subscription plan. You are responsible for all actions taken by team members under your account.

8. Service Availability

We strive to maintain 99% uptime for the Rentrax platform. However, we do not guarantee uninterrupted access to the Service. Scheduled maintenance will be communicated in advance where possible.

We are not liable for any losses resulting from Service downtime, data loss, or technical failures beyond our reasonable control.

9. Intellectual Property

The Rentrax platform, including its design, code, features, and branding, is the exclusive intellectual property of Rentrax. You may not copy, reproduce, distribute, or create derivative works from any part of our platform without explicit written permission.

10. Termination

Either party may terminate this agreement at any time:

• You may cancel your subscription at any time from your account settings
• We may suspend or terminate your account for violations of these Terms
• Upon termination, your data will be retained for 90 days before permanent deletion
• You may request a data export before termination by contacting us

11. Limitation of Liability

To the maximum extent permitted by Philippine law, Rentrax shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to loss of revenue, loss of data, or business interruption.

Our total liability for any claim related to the Service shall not exceed the amount you paid us in the 3 months preceding the claim.

12. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the Republic of the Philippines. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of General Santos City, Philippines.

13. Changes to Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or a prominent notice in the platform at least 30 days before the changes take effect. Continued use of Rentrax after changes constitutes acceptance of the updated Terms.
